Our in-house University design team provide a bespoke design service for University projects and initiatives. The service is available to all University staff.

Please note: this design service is replacing work that would have previously been sent to CDS to design. Work that can continue to be created within your teams internally utilising our array of branded templates should continue to do so and should not be briefed as bespoke design.

University design team briefing process

To brief our in-house team design service please follow this step-by-step guide.

Step 1. Design briefing form

Step 2. Request is reviewed

  • Unique job no. set up for project e.g. 0001_CER_MAR_Open_day_Bk_A5. Naming convention – Project reference / Department name / Sub area / Project title / Asset kind / Asset size.
  • Any questions or queries are raised via email/Teams.
  • Design briefing meeting arranged (if required).
  • Design time estimate generated and scheduled into design workflow.

Step 3. Order acknowledgement

  • Acknowledgement will be sent via email from the design inbox.
  • This email will contain the project ref, start/completion dates, breakdown of phases and version dates/ estimated time, summary of brief.
  • Please note: This must be agreed/signed off before work begins.

Step 4. Project goes live

  • Once order acknowledgement is agreed, project is then live.

Step 5. PDF Proofs and amends

  • PDF proofs will be shared via email from the design inbox.
  • Any amendments should be marked up using Adobe Acrobat markup tools. And returned to the design inbox email design@essex.ac.uk
  • Please note that if the scheduled return date is missed then the project will need to be rescheduled in the design workflow, so it will not be guaranteed that they can still hit the original deadlines.

Step 6. Final artwork

  • Will either be attached to an email or shared via BOX if too large to email.

Using the design service

Before you start, here’s a few key pointers about using the service.

Require printed assets?

Please contact CDS for a print quote:

  • Fill in the CDS Print order form.
  • Email CDS for all print-related queries  uoe@cds.co.uk
  • The design team will not check any printer’s proof unless there is a technical requirement.

Has your content been proof-read?

Please only supply final proof-read content.

Supplying photos?

  • Check that any photography you are supplying is high enough resolution for intended use. e.g. 72dpi web / 300dpi print.
  • Any licence/permission is obtained for any images not owned by the University.

Design schedule and turn-around times 

  • Allow for an 8-week turnaround schedule from start (project live, order signed-off) to finish (design output/final artwork supplied).
  • An email will be sent acknowledging the design work, with project number and schedule allocation.
  • Email confirmation is required for sign-off of each project before design work can proceed. This is to ensure efficient workflow.
  • Please plan for a maximum of 2 rounds of amendments.
  • Additional time needs to be factored in by the requestor to organise for any print, production and delivery requirements.

Briefing amends and signing off proofs 

  • Any amendments need to be marked up using Adobe Acrobat markup tools.
  • See Adobe’s guidance on marking up text with edits.
  • If you have multiple stakeholders feeding in please ensure you collate all amends before briefing back to the design team (aim for a maximum of 2 rounds of amends).
  • If the scheduled return date is missed then the project will need to be rescheduled in the design workflow, so it will not be guaranteed that they can still hit the original deadlines.
  • If necessary other projects you’ve scheduled can be pushed back to reprioritise the more urgent project.
  • If missed ‘proof return’ dates become a problem in meeting project deadlines these will be escalated to your HOD.
    Process of escalation: Design Team/Briefer > Briefers HoD > Head of Brand Management > Senior management

Scheduling planned design work

  • Monthly meetings can be arranged to discuss projects in progress and future work, if required.
  • If you have a calendar of regular work please contact the design team to discuss on design@essex.ac.uk.
  • Please give as much time as possible for any planned work even if the brief is not yet ready with all the details, please drop the team a message to expect and plan for the work – this will be crucial at busier times of year such as Clearing and Graduation when their capacity will be stretched.
  • Planned work will be prioritised over last minute or unplanned requests.
  • Please be aware if you do have work they do not have capacity to complete this will be sent to overflow design (currently CDS) and will need to be paid for by the department requesting the design work.
