Forms and survey tools

Essex provides two tools for creating forms and surveys:

  • Microsoft Forms — for everyday forms, polls, quizzes, registrations and feedback.
  • Qualtrics — for academic teaching and research surveys that need advanced features.

Use Microsoft Forms for most things. Use Qualtrics only for academic teaching or research where you need advanced survey logic, panel management or research analysis tools.

Before collecting personal data, check the University's data protection guidance. This applies whichever tool you use.

Microsoft Forms

Microsoft Forms is the recommended tool for most University forms and surveys. You can create surveys, quizzes and polls quickly, view responses live, and export results to Excel. No extra licence is required.

Use Microsoft Forms for:

  • quick feedback forms and polls
  • event RSVPs and registrations
  • staff or student surveys
  • internal and administrative forms
  • surveys sent to external respondents

Use Qualtrics instead if your survey is for academic teaching or research and needs advanced branching, panel management or in-depth research analysis.

Forms are owned by the account that creates them. If you leave the University or change roles, transfer ownership before you go so responses are not lost.

Qualtrics

Qualtrics is the University’s academic survey platform for teaching and research purposes only. It should not be used for administrative, commercial or operational surveys. Use Microsoft Forms for those.

Use Qualtrics for:

  • academic research surveys with advanced branching or logic
  • teaching surveys that need advanced functionality
  • panel management or statistical analysis
  • surveys sent to external respondents as part of academic research

Do not use Qualtrics for staff engagement surveys, service or event feedback, event registrations, or general operational data collection.
