Using your personal device for University work

If you use your own laptop, phone or tablet for University work, it may store University information and data.

Follow these guidelines to keep that information secure and comply with the Information Security Policy (PDF) and the IT Acceptable Use Policy.

1. Secure your device

  • You’re responsible for keeping your device secure.
  • Set up a screen lock (PIN, password, pattern or biometrics) and make sure it locks automatically after inactivity.
  • Enable Find My Device and remote lock/erase features (Android/ iOS).
  • Install updates for your operating system and apps promptly.
  • Use antivirus software if available.
  • Never jailbreak, hack or root your device — this weakens security.
  • Disable Bluetooth and wifi when not in use.
  • Avoid public wifi networks — use mobile data instead.
  • Don’t leave your device unattended.

2. Store information safely

  • Avoid storing University information on your device for long periods.
  • Delete emails and attachments when you no longer need them.
  • Limit how much University data syncs to your device.
  • Never allow your device to remember passwords for University systems.

3. If you share your device

If others use your device:

  • Create separate user profiles or accounts.
  • Always log off your profile when finished.
  • Keep University data and apps separate from personal ones.

4. When disposing of your device

Before selling, recycling or disposing of your device:

  1. Remove all University data.
  2. Un-sync it from University systems or services.
  3. Remove University-installed software.
  4. Reset to factory settings.
  5. Change your University password.

5. Lost, stolen or compromised devices

If your device is lost, stolen, or you suspect it’s been compromised:

  1. Try to locate it using Find My Device / Find My iPhone.
  2. If it’s unsafe to recover, remotely erase/wipe it.
  3. Change your University password immediately.
  4. Report the loss or breach straight away via Report a data breach.

Stolen devices are rarely recovered — always act quickly.

6. When you leave the University

Before your account closes:

  • Remove all University data from your device.
  • Un-sync or disconnect from University systems.
  • Delete University software and apps.
  • Reset to factory settings if necessary.

7. Compliance

Failure to follow these guidelines may breach the IT Acceptable Use Policy and could result in disciplinary action.
