External Examiner Reports

 

EXTERNAL EXAMINER REPORTS 

SUBMISSION OF REPORTS

You are asked to submit your report by 1st September for UG awards, 1st February for PGT awards or 4 weeks after the final examination board for awards which operate on a non-standard timetable.

Your report should be prepared in typewritten form using the University's proforma.  Please see your appointment letter for further details. 

Report Proforma

The report form can be obtained as follows:

  • Report Proforma Undergraduate (Word document), (PDF version)
  • Report Proforma Postgraduate  (Word document), (PDF version
  • Send a blank email to quality@essex.ac.uk with the text “XXSEND” in the subject line.  This is a fully automatic service and will return to you an email with all relevant forms attached as Word documents.  Please do not include anything else with the email request.

Reports must be submitted electronically via email to quality@essex.ac.uk.  The email will be retained with your report as verification in place of your signature. 

PLEASE NOTE THAT FEES WILL ONLY BE PAID ON PRODUCTION OF YOUR FINAL REPORT EACH YEAR

If you have appointments covering both undergraduate and taught postgraduate awards please note that two separate reports are needed, and that the downloadable proformas for undergraduate and postgraduate provision are different. 

You may at any time submit a supplementary confidential report to the Vice-Chancellor should you wish to do so. 

If this is your final year as an External Examiner the submission of an overview report attached to the pro-forma report would be welcomed. 

CONFIDENTIALITY OF REPORTS

External Examiners’ reports are discussed at meetings in departments (and equivalent bodies where collaborative partner institutions are concerned), and may also be considered by relevant University committees. For this reason - and in particular because such bodies may include student members - you are asked to avoid revealing in your report the names of any names of individual candidates which may be known to you. 

When there is a change of External Examiner, the incoming External Examiner is provided with copies of the previous years' report by his/her predecessor.

Reports are likely to be made available to external bodies such as the QAA and professional and statutory bodies.

Under the Data Protection Act 1998 students will be entitled to access any written comments made by Examiners, including the External Examiner, on their work.

External Examiners who experience difficulty in downloading the forms are asked to contact the Academic Standards and Partnerships Office
