Undergraduate Subject Leaflets Guidelines

What are the leaflets for?

The subject leaflets have been used for a number of years and are extremely popular with potential applicants at higher education fairs. They are intended to be used in conjunction with the Undergraduate Prospectus to provide additional and further information about the subject area and the Department or School. They also intend to give a good insight into what students think about their course, their Department or School and the University.

Who designs them?

The leaflets are designed by the University’s Printing Centre. The content of the leaflets are very similar and the leaflets are designed using the University’s brand guidelines. This helps to ensure a common house style and speeds up the design process, therefore keeping costs down.

What information should they contain?

The important point to bear in mind is that the leaflet should amplify and not simply duplicate the information in the prospectus. It is a good opportunity to provide applicants with additional information and further insight into what current and graduate students think about studying at the University.  

We would be grateful if you could provide text under the following headings. (If this simply involves making minor changes to your current leaflet, please make your amendments on a current copy). NB We have used Sociology as an example.  

  • What is Sociology? (opening text – make this as interesting and engaging as possible)
  • Why study Sociology at Essex? (perhaps including particular interests within the Department)
  • Research areas
  • Suggested readings
  • Current student profiles*
  • Graduate student profiles (alumni)*
  • Study abroad opportunities or a study abroad student profile*
  • Academic staff profiles
  • Careers information

* Enthusiastic students talking about why they came to Essex, their experience as a student academically and socially, how they have found the course, what individual modules they have enjoyed, and their future plans after graduation or what they are now doing since graduating. We can supply the students of your choice with a questionnaire which they complete. We then write up a profile for the student based on what they have said in the questionnaire.

How many words do we need?

There are no hard and fast rules for the amount of text but the ideal length is about 1,500 - 2,000 words. Due to the fact that we have a limited amount of space to fill, we will probably need to edit the text supplied. We will however liaise closely with you throughout the production process and provide opportunities for you to see proofs before printing.

What form should copy take?

If there are only minor changes to be made to a current leaflet, please simply amend the copy of your old leaflet.  

For any new text you are supplying, please send information electronically. Text should be complete and have been carefully checked for typing errors. Corrections or changes at a later stage waste time and cost money. Please do not apply any formatting to your text other than normal paragraph breaks (eg no indenting, justifying or setting text in columns).

What about illustrations?

Front cover images or illustrations may be changed or updated when a new print run is required. The persons responsible for updating the leaflet will work with you to agree on a suitable image. The leaflet cover images follow a strict guideline style which we try to adhere to in most cases unless this is not possible. Please be aware that we have the final decision on the choice of the image used, but we do try to be as accommodating as possible.

Who pays for the leaflet?

Communications and External Relations will pay for the work involved in updating the leaflets and for its own print run. You will be expected to pay for any extra copies you may require for your own use.
