Audience: Only departmental administrative staff who are currently in a role requiring committee servicing skills or anyone who is looking to move into such a role.

This interactive session has been developed in consultation with Departmental Administrators and is designed to meet the needs of administrative staff in Academic Departments, Schools and Centres who are interested in learning more about committee administration or enhancing existing skills and knowledge. The session will provide structured advice and guidance for staff who are currently in a role requiring committee servicing skills or for anyone who is looking to move into such a role. The session will also give participants opportunities for discussion and the sharing of good practice.

Key topics:

  • The purpose of committees;
  • The difference between formal and informal committees and meetings and how this affects the role of the secretary or note-taker;
  • All aspects of minutes/note-taking;
  • Mastering agenda-setting and the starring of agenda items;
  • Providing effective support to the chair;
  • What to do before, during and after the meeting;
  • University governance.

Learning outcomes:

  • Develop a greater understanding of the general role of a Committee Secretary;
  • Improved skills in minute-writing and note-taking;
  • Identify practical tips on how to prepare and manage the agenda;
  • Identify some strategies for managing the relationship with the chair;
  • Have a better understanding of the Universitys governance structure.
