Frequently Asked QuestionsWhere can I get help organising a conference and will anyone be looking after my event on the day?Our experienced Conference Office team are available throughout the
planning of your event and can supply you with a current tariff, floor
plans, menus, audiovisual information and a personalised programme. Our
trained staff will meet and greet you and your delegates on arrival,
check you are happy at regular intervals and help you with any last
minute changes or queries. Do you provide AV equipment and technical help?A full complement of audiovisual equipment can be provided on request
with technical assistance and support throughout your event. Do you require a deposit?An appropriate non refundable booking fee is required .
Payment of 50% of the anticipated total invoice value must be paid 6
months prior to arrival. Please refer to our terms
and conditions. Do you offer a half-day room hire charge?Yes, we offer a half day rate for the day delegate tariff. Can I do my own catering?It is possible to book self catered accommodation. However, communal
kitchens are not available for hire. Do I need to provide kitchen equipment if I am catering for myself?No. Self catering accommodation is provided with fully equipped
kitchens. Where are meals served, and at what time?All meals can be taken in our self service catering outlets. Delegates will receive full information on their arrival with their key, on where both meeting rooms and catering will be and at what times. Buffet lunches can be delivered to your meeting area and formal
dinners can be booked into our marquee or smaller dining room. How will my delegates know where to go?For ease of navigation during the event, comprehensive signage is
provided from all car parks to registration or check in, and then to the
main plenary, breakout rooms, accommodation and catering venues. Can you assist with delegate registration?At present, the Conference Office is unable to deal with individual
delegate registration. Is linen provided in all of the accommodation packages?Yes, all rooms are provided with full bed linen and towels. What happens if I'm late checking in, and what time do I need to check out?During the summer our dedicated Conference Reception is open 8am to 8pm,
7 days a week. Delegates arriving after 8pm will be directed to the
24-hour Information Centre to collect accommodation keys. Check out is by
9.30 am. Is there anywhere I can leave my luggage before I check in /after I have checked out?A luggage storage facility is available free of charge at Conference Reception both on
arrival and prior to departure. Is car parking free of charge or do I have to pay for it?All delegates are supplied with a parking permit for the duration of
their stay entitling them to free parking. A permit is not required for
evenings and weekends. Can you get to the University by public transport?Yes. See travel and location. Do delegates have access to leisure facilities?The University Sports Centre facilities are available to conference
delegates at discounted rates. Do you have rooms suitable for disabled guests?A limited number of rooms with special facilities may be requested,
subject to availability. Do you have any double rooms?A limited number of double rooms may be requested, subject to
availability. Is the accommodation suitable for children?A limited number of flats suitable for families are available. Children
under 12 years must be accompanied by an adult on a one-to-one basis at
all times while on campus. Do you have smoking and non smoking rooms?We operate a non smoking policy in all our accommodation, however there
are plenty of public areas to smoke around the University. Are there telephones in the rooms, if so, how will I know my number? Can this line be used for internet access?Telephones are provided in each bedroom and delegates will be given the number with their bedroom key. To make outgoing calls or to connect to the internet, the telephone line must be activated with a Dog 'n' Bone phone card. These can be purchased from several outlets on campus. All calls including 0800 numbers are charged. We do not provide an e-mail address but you can use our service to send and receive web-based e-mail from other providers.
