Application Procedure
In order to apply for 2012/13 university
accommodation via the Waiting List you must be a full-time student in 2012/13.
Students who have a debt to the
university in excess of £75 will not be made an offer of accommodation until the
debt is cleared. You will be notified of this circumstance and given an
opportunity to make payment to clear this debt. If this is not received then
your application will not be considered further.
Part-time students will not be able to
apply online via this link and should contact the Accommodation Office directly.
They will be issued with a paper application to complete separately. Please
note: Part-time students will be a low priority on the Waiting List and will be
placed underneath all New and Returning full-time undergraduates.
The waiting list is only available for students without university provided
accommodation. If you already have an offer of university
accommodation for 2012-2013 you are not eligible to join the waiting list. If
you are already contracted to a property in the private sector please be aware
that your contract is likely to be binding for the entire period. You should not
apply for or accept university accommodation if you are already bound by an
accommodation contract with a private landlord.
Completing the Application
On the application form you will be
asked to select your preferred locations. Please select these in order of
preference and do not select any location which you would not be prepared to
accept. Please note that we cannot guarantee that you will be offered your first
choice of accommodation.
Order of students on Waiting List
Priority will be given in the following order on the
Undergraduate Waiting List:

Welfare/Medical Need Undergraduates
-
Part year Incoming Study Abroad and Erasmus
Undergraduates students who fall outside the guaranteed quota of available rooms

New Overseas Undergraduates
-
New Home/EU Undergraduates
-
Returning Study Abroad Undergraduate students
-
All other full time Undergraduate students
-
All part time Undergraduate students
Applications within the above categories
will be sorted by date and time-stamp in the order in which they have been
received.
Offer and Acceptance
You will be made an offer of
accommodation as soon as one of your choices becomes available and it will be
necessary to accept this offer before the closing date contained in the offer
letter itself. Accepting the offer will constitute your formal
acceptance of the Terms and Conditions.
If you reject an offer your name will not remain on the
waiting list. If you wish to go back on the waiting list you must notify us and
your name will be added to the bottom of the waiting list.
When offers are accepted you will be expected to move in to
the accommodation within 2 weeks of the offer expiry date. You will be billed
for the accommodation from the date you collect the keys. We will email you if
there is any reason why we are unable to accept your application to join the
waiting list.
Contractual Arrangements
Upon acceptance of your offer you will
be accepting the terms and conditions made available to you electronically with
your offer. You will have a cancellation period of 7 days from the day after
this contract is formed in which you can opt to cancel the contract. After this
time the contract is binding under English Law. The university reserves the
right to offer a longer cancellation period to specific student groups as it
deems fit and this information will be provided at the point of, or prior to,
the allocation.
Please note that there is no notice to
quit facility. This means that once you have accepted the offer and moved into
the accommodation you have formed a contract which is binding and you will be
responsible for the rent until the end of the accommodation agreement. You will
not then be able to give notice on the room unless you withdraw from the
University.

Data Protection
The University of Essex is registered under the
terms of the Data Protection Act 1998 to enable it to hold and process personal
data about its students and landlords for the purposes of providing
accommodation for its students. The data will be kept secure and accurate and
will only be disclosed to members of University staff who need to know for the
purposes of carrying out their normal duties. The data will not be disclosed to
anyone outside the University without obtaining your prior consent.
