Transfer of Tenancy Procedure

Another student may take over your tenancy providing the change is approved by the Accommodation Office and the outgoing student has not already completed a room exchange, a transfer of tenancy or a room transfer during the current term.

Your tenancy will then be transferred into the name of the incoming student.

The new tenant will be responsible for the rent until the end of the tenancy which will be either 30 June or 17 September 2012. The new tenant will be issued a Letter of Allocation for the room and will be liable for the normal rent until the end of the tenancy agreement.

Any student who is proposing to move in must:

  • be fully registered.
  • have no significant debt to the university.
  • have no outstanding disciplinary case against him/her relating to accommodation.
  • be a postgraduate student if intending to move into a postgraduate flat.
  • be a female student if moving into an all-female flat or a male student if moving into an all-male flat.
  • not otherwise be living in university accommodation.
  • be able to provide written evidence that they can give notice under the terms of any private accommodation contract they may have signed.

The terms and conditions of the new agreement will be the same as those that applied to the vacating student.

A £10 fee will be payable to change a single room Letter of Allocation into the name of the new student, and a £15 fee will be payable in the case of a couples room. These fees should be paid in the Finance Office once the transfer has been approved and the receipt brought to the Accommodation Office.
If  the room is to be cleaned between lets then an additional £55 charge will apply.

The date of the transfer of tenancy commences is to be agreed with the Accommodation Office.

Please note: Unfortunately Colchester Institute students are not able to transfer to University of Essex students and should contact Sandie McAleavy (Colchester Institute Student Support Office) on 01206 712296.

 

Application form to place an advert on the transfer notice board

If you wish to advertise your room for a transfer of tenancy you may complete the application form below and submit you details to the accommodation office. Your advert will then be uploaded to the web notice board within 5 working days.

Users should be aware that they are using a system in the public domain and therefore leave their own name and contact details at their own risk and discretion. Users under 18 years of age should not post phone numbers or e-mail addresses on this site. If you do not enter contact information  you will need to email accom (non essex users should add @essex.ac.uk) with your contact details. Please only enter contact information that you are happy to have published on the web.

Application to transfer tenancy agreement

Once you have found a student willing to take over the tenancy of your room you will both need to complete the application form to transfer tenancy available from the Main Accommodation office. You will then have to hand the completed form to the accommodation office and leave it for checking. The staff at the main accommodation office will be able to tell you when to contact the office in order to confirm if the transfer has been authorised.

You will need to bring all your own towels and bedding. You can, if you wish,  pre-order all the essential items that you will need in your study-room before you even leave home.  All-Unied (www.all-unied.com) is a company that provides a variety of packs of indispensable items to ensure you quickly settle in your university accommodation.
