Student Bookings for Summer Vacation Accommodation

Vacation Bookings 2011 - Applications available 8 March 2011

There is a two-tier system for students who wish to book accommodation for the summer vacation.

For students who require a long-term booking, that is, for more than 4 weeks (a week being 7 nights) the tariff is set at a lower rate equivalent to the term time rent. In this case the same letting conditions apply as for students who have been resident all year, in particular, notice may not be given once the keys are collected.

For students who require a booking of 4 weeks or less or who are uncertain about required dates, the short-term rate applies. In this case 3 days notice may be given. Any booking which commences on or after Monday 22 August 2011 will be deemed a short-term booking. Please see the full letting conditions attached.

 

In Date Students living in Private Accommodation may not move in until Tuesday 5 July 2011.
  Students on a 39 week let, currently living in University Accommodation, will move to their new room before Saturday 2 July 2011 where ever possible. A separate letter will be sent to you with your invoice about move over procedures.

 

Out Date Colchester Campus: Last possible out date is Monday 19 September 2011.
University Square, Southend: Last possible out date is Monday 5 September 2011.

All students are allocated on a first come first served basis.
If there are more applications than rooms, a ballot will be held.
Non-students and Visitors wishing to book accommodation must contact the Conference Office at conferences (non-Essex users should add @essex.ac.uk to create full email address) or by telephoning 01206 872358.

Please note that we are not able to guarantee non-Smoking or single gender flats.
Accommodation is not guaranteed.

Any offers will be made via email and sent to your current email address. You will then need to contact this office to accept your offer on or before the expiry date given. If there are any queries with your application we will contact you via email.

Insurance


Endsleigh insurance services will be the provider of student accommodation insurance for the Academic year. The University has arranged a block halls policy for all students in university owned accommodation to insure their personal effects. There is no additional charge for the standard insurance cover provided. However if you need to increase your level of cover or purchase additional cover for specific items not included in the standard policy this can be done through Endsleigh Insurance services directly.

CONDITIONS GOVERNING THE BOOKING AND OCCUPANCY OF VACATION ACCOMMODATION 2011


KEY COLLECTION & RETURN
Keys to accommodation booked and paid for will be available from 12.00 noon on the day of arrival.
The accommodation must be vacated and keys returned by 10.00 am on the day of departure. Failure to comply will mean that an additional charge for that day will be made, together with a late booking fee of £10.00. Any keys being returned out of office hours may be given to the Information Centre on Square 3 of the campus. The Information Centre is open 24 hours a day, seven days a week. Students living at University Quays may return their keys to the Quays security office.

All vacation accommodation ceases on or before Monday 19 September 2011. On the date specified on your letter of allocation your room must be cleared and the keys returned by 10.00 am. Students who will subsequently be moving to University owned accommodation for the next academic year should make an arrangement with the Accommodation Office.

KEY DEPOSIT
A key deposit will be required and is charged on the first payment for any booking over one week. This will be refunded when the keys are returned to the Accommodation Office. If the deposit is not charged on the accommodation invoice then a charge will be raised if the keys are not returned.

PAYMENT
Bookings will normally be subject to a minimum charge of three days. This does not apply to graduation and resit accommodation.

Non-registered students/visitors or graduand students of the University are required to pay the total invoice in advance before keys are issued. All other students will be required to pay the first instalment prior to collecting keys.

GRADUATING STUDENTS
Please note that once you have graduated you are no longer a registered student of this University and are, therefore, not entitled to vacation accommodation. If you are intending to stay for the summer you must book and pay for your entire stay prior to your Graduation ceremony as you will not be able to extend your stay with us once you have collected the keys.

FOR BOOKINGS 4 WEEKS & UNDER
Once a reservation has been made it may be extended (except for graduated students) for a longer period if rooms are available but the higher rate of rent still applies.

NOTICE FOR BOOKINGS 4 WEEKS & UNDER
Three days notice is required for all accommodation. This applies to cancellation of the booking or part of the booking. If this relevant period of notice is not given an equivalent charge will be levied.

NOTICE FOR BOOKINGS OVER 4 WEEKS
Students may not give notice once the keys have been collected.

BOOKING CONDITIONS
Rooms will not be held for students who have not collected their keys on the first day of the booking, except by prior arrangement - confirmed in writing.

Periodic inspections of the flats or rooms may be made during the vacation and any necessary maintenance work carried out. An inspection will take place on the day the room is vacated. Any damage for which you are responsible will be charged to you. The cost of any damage carried out in communal areas of a flat by persons unknown will be split evenly amongst all residents of that unit or flat.

Students are not given exclusive occupancy or possession of any particular room or rooms. It may be necessary to move rooms during the period of vacation occupancy. Students occupying accommodation over the vacation are subject to the regulations applicable to University residential accommodation as shown in the Accommodation Handbook.

It is not possible to make a booking that commences on or after Monday 12 September 2011 at the Colchester Campus or Monday 29 August 2011 at University Square, Southend.
